Free Preschool & Daycare Transition Checklist

Use this free daycare and preschool transitions guide to agree on a clear, consistent staff routine. A transition is more than telling children that playtime is over. Materials, adult responsibilities, the next activity, and children’s questions all meet in the same short window. For daycare and preschool teams, a shared plan can make that window easier to discuss, practice, and improve without placing all responsibility on the children.

Map one transition as a team

Head Start recommends preparing adult roles and cues, reducing unnecessary waiting, and planning what happens before, during, and after a classroom transition. Begin with one recurring change rather than revising the whole schedule at once.

At a brief staff discussion, choose a transition and draw its route on paper. Mark where materials are collected, where children will go, and who is responsible for each part under your program’s approved supervision procedures. Identify a bottleneck you can change without compromising required supervision or staffing.

Create an agreement people can rehearse

Use the prompts below to make an original transition card for your room. It should be specific enough that a colleague can ask practical questions before trying it. A written card supports discussion; it does not replace program policies, required ratios, individualized plans, or professional judgment.

  1. Starting point: name the activity that is ending and the actual cue staff will use.
  2. Adult responsibilities: record who prepares the destination, who supports the current activity, and how staff communicate.
  3. Child participation: choose one action children can practice, and describe how a child can request help in a familiar communication form.
  4. Materials: decide where unfinished work belongs and ensure the next activity is ready.
  5. Review: choose one question for a short team check afterward, such as which part required repeated explanations.

Share observations respectfully

Talk about the process and observable events, rather than describing children or families as problems. Share individual information only through approved, private channels with people who need it. When a child needs additional support, coordinate with the family and appropriate specialists within your existing procedures.

Fictional staff practice example

A preschool team notices that the handwashing transition begins before the snack space is ready. During a planning discussion, they decide how to prepare that space earlier within their approved staffing and supervision procedures. They also agree where drawings will be stored. Afterward, they compare whether children had a clear place to go and whether staff instructions matched.

Common questions

What should a preschool staff transition checklist include?

Include the activity change, starting cue, prepared materials, staff responsibilities, and the approved supervision arrangement. Add what children will practice, how they can request help, and where unfinished work will be stored. Review one observation together after practicing.

Can we use this free guide for arrivals, cleanup, or activity changes?

Yes. Choose one recurring change in your setting and use the transition card to plan it as a team. Rehearse each person’s role and adapt the cues and communication format to the children. Follow your setting’s existing supervision procedures.
